How we handle personal information

I. Who we are and what this covers

Vectis Works builds software, data connections and automation for manufacturers, including dashboards that read data from the machines on a shop floor. We are located at 100 Powell Place #1170, Nashville, TN 37204. This policy applies to this website and to the business emails Vectis Works sends.

Plainly: this is how Vectis Works treats information from this site and from our business emails.

II. How we get in touch with people

We write to people at companies when their job connects to the work we do, such as operations, plant management, finance or engineering. We use their work email address, and now and then we may call a business phone number or post a letter to a business address. We only reach out when we believe our work could be useful to that company, and we stop as soon as someone asks.

Plainly: we contact people at work about work, only when it could be relevant, and stop on request.

III. What we collect

Business contact details where they are available: name, job title, employer, work email address, business phone number and a link to a professional profile.
Information about the company, such as its industry, size and location.
Public business activity, such as job postings, news coverage and public posts.
The results of checks on whether an email address can receive mail.
Our correspondence with a person and the notes we keep about it.
Visits to this website. The site sets no cookies and runs no analytics. Our hosting provider keeps ordinary technical logs, and the service that supplies the site's typeface receives the visitor's IP address when the page loads.

We do not collect sensitive information such as health details, financial account numbers or government identifiers.

Plainly: we hold work contact details and business context, never sensitive personal data.

IV. Where it comes from

Our information comes from public sources, including company websites, job boards, news and professional networking profiles; from commercial providers of business contact data; and from people themselves, when they reply to us, complete a form or talk with us.

V. Why we use it

To judge whether our work is likely to be relevant to a company and to the person we would contact.
To contact that person at work.
To confirm that an address is valid before we write to it.
To answer replies and, when asked, to talk about or provide our services.
To maintain our do-not-contact list.
To keep our systems secure and to meet our legal obligations.

Our business emails carry no tracking of whether they were opened.

Plainly: we use it to decide, contact, reply and honor opt-outs, and we do not track opens.

VI. Asking us to stop

Reply to any of our emails, in any words at all, or tell the person who called you. We will stop promptly, and in every case within 10 business days. We then keep your name and address on a do-not-contact list, so that you are not contacted again even if your details reach us from another source.

Plainly: any reply saying stop works, and we remember not to come back.

VII. Who else sees it

We never sell or rent personal information, and we never share it for another company's marketing or for targeted advertising. We share it only with:

Service providers who work on our behalf, for email and mailbox services, address verification, business data, hosting and storage, and who may use it only for that work.
Authorities, when the law requires it or when needed to protect rights and safety.
A buyer of or successor to our business, who must honor this policy.

Plainly: no selling, only the vendors who help us, the law, or a successor bound by these rules.

VIII. How long we keep it

We keep contact information while it remains useful and remove records that have gone out of date. Records about clients are kept for as long as the work and our legal and accounting duties require. Do-not-contact entries are kept for as long as we contact businesses at all.

Plainly: only as long as needed, except the stop list, which we keep.

IX. Keeping it safe

Access is limited to the people and providers who need it, and we use reasonable safeguards. No system is perfectly secure, and we cannot promise that information will never be exposed.

Plainly: we take sensible care, but nobody can promise perfect security.

X. Your rights

You can ask us what we hold about you and where we got it, ask us to correct it, and ask us to delete it. If you ask us to delete it, we keep only the do-not-contact entry that stops us contacting you again. Depending on the state you live in, the law may give you further rights, such as to know, correct or delete your information or to opt out of its sale or sharing; we do not sell or share it that way. Exercising a right will not change how we treat you.

To make a request, reply to any email from us, use the contact form at vectisworks.com, or write to the postal address in clause I. We may ask you to confirm the email address we contacted so that we act on the right record. We will answer within the time the law allows, and an authorized agent may make a request for you.

Plainly: ask what we have, fix it or erase it, by reply, form or post.

XI. Children

Our work is for businesses. We do not knowingly collect information about anyone under 18.

Plainly: we deal with adults at work, not children.

XII. Where we operate

Vectis Works is based in Tennessee and contacts businesses in the United States. Our service providers may process information in the places where they operate.

Plainly: we are a US company, and our vendors may handle data where they are located.

XIII. Updates to this policy

When we revise this policy, we change the effective date shown at the top of the page.
